 Section 1: Visual Assets & Swag Planning 

 

The sponsors who maximize their ROI arrive with the right assets, use their tier fully, and give participants a
clear visual reason to stop and engage. All onsite tents, banners, flags, and product displays must be supplied
and installed by the sponsor. What you can bring depends on your sponsorship level. Plan for it and make
every piece count.

Step 1: Asset Audit & Planning

Timing: 10-12 weeks before event

Objective: Confirm what you already own, identify gaps, and align assets with your tier.

  • Messaging should align with women's leadership, wellness, or environmental care

STEP 3: Production + Ordering

Timing: 8-12 weeks out (order internationally even earlier)

Objective: Get everything ordered and confirmed well ahead of setup day.

STEP 4: Swag Strategy

Timing: Selection at 8-6 weeks / order by 6-4 weeks

Objective: Give people something that keeps your brand visible after they leave.

 

  • High-performing items: reusable water bottles, dry bags, reef-safe sunscreen samples, hats, rash guards,
    tote bags, hair ties
  • Gift cards with clear redemption instructions always work
  • Avoid: flyers, cheap plastic items, anything that feels disposable
  • Goody bag inclusion: confirm with the event team whether your tier includes placement in participant
    goody bags. If it does, have items ready and delivered before bag assembly.
  • Business info in goody bags: a simple card with your offer, QR code, and contact info is enough. Keep it

    conditions: Cabarete is windy and banners need to be secured to stay visible all day.
  • All signage and banners must be weatherproof. Choose materials built for heat, wind, and humidity
    so your branding stays sharp from day one to day five.

  • One staff person assigned to engage attendees
